Guide to the Tutor:HUB

Registration

You will need to create an account before you can apply for any vacancies. Click here and complete the simple form. You will then receive a confirmation email, but you can log in immediately.

NOTE: passwords need to be 8 characters in length, contain a capital letter, a number and a special character (e.g. Educate1!)

Follow the link to Tutor:HUB provided in your welcome email and save this login page as a favourite. You'll need it regularly to be able to apply for vacancies and if successful, training, tutoring assignments and registers.

Applying for a vacancy

Once you have registered and found a vacancy that you think you would be a good fit for, the online application form will guide you through the process. We recommend that you read this article first on making a successful application.

Adding or editing a profile

The Tutor:HUB will create a basic profile for you as you go through registration and application. You can edit this information (if logged in) under the My details section of the Profile, but you will not be able to add any of the information below until you have been successful in your interview.

Address

This is used so that the Tutor:HUB can show you assignments located closer to you. Please enter the address you will be using during term time.

Bio

Please write a short description of yourself. Remember as this will be visible to schools keep it fun but professional. The bio also helps us match you to schools and pupils so do include your hobbies and interests, as well as any acheivements. Once you've completed the bio it will be sent for approval.

Profile picture

Safeguarding is really important to us and the schools we work with, so we are sometimes asked if we can provide an image of a tutor for security and recognition purposes. It can speed up the process when you first attend a school - as they will pre-prepare your security pass for example. We aren't looking for your most glamorous social media pics, so make sure we can see your whole head, ideally face on, in good light. Cheese!

Mobile number

Having the ability to contact you quickly and easily is vital, especially when assignments are cancelled or we need to contact you about ensuring you are completing tasks, like registers, on time. We are also responsible for your safety, so adding a contact number - ideally a mobile phone number - is the best way for us to do that.

Bank details

Payment will be made directly to your nominated bank account. You need to input your bank details on the Tutor:HUB before your first payment is due. If you do not provide us with your bank details at least a week before you are first due to be paid, you may not be paid until the following month. If you change your bank details, you must update them on the Tutor:HUB immediately. Please also email us at the Tutor Trust office to let us know you've made a change, but there is no need for you to send your bank details to us by email.

How to bid for assignments

If you are successful in securing a role, more tabs will open up for you. Apply for assignments allows you to bid for particular roles:

  1. Click on the Apply for Assignments tab. You will see assignments that:
    1. Are in your city or region
    2. Are in the age range(s) and subject(s) for which you have trained (e.g. Secondary Maths)
    3. Any Tutoring Plus assignments taking place in your city region
  2. Click the ‘Details’ tab to see more information about the assignment
  3. Check the Shift notes for any extra information about the assignment
  4. Click Apply to bid for the assignment
  5. Add any supporting details on the schedule, location, subject or other relevant information into the application notes box, such as:
    1. This is an easy location for me to travel to and from
    2. I could do Wednesdays, but not Fridays
    3. I have an existing connection with the school, as my sister attended
    4. I am keen to teach Year 4 Maths
  6. Click Next to submit your bid. Please note that it can take up to a week for your application to be considered. If accepted, you’ll receive an email from the Tutor:HUB, and a follow-up email with details from your Schools Coordinator to arrange an Introductory Meeting with the school. You’ll also see details of accepted assignments in the My Assignments tab.

Remember

You can bid for multiple assignments that take place at the same time and day; however, please ensure you explain this in the application notes.

My assignments

If you have been successful in securing an assignment at a school, the details will be displayed in this section. You will receive a reminder on the day before your placement. Completing registers

All registers must be completed within 48 hours of a tuition session taking place to ensure that feedback can be provided to the school as soon as possible after each session. You’ll receive automated email reminders if there are any outstanding attendance registers.

If you do not complete your attendance registers promptly, there may be a delay in your payment. You are paid monthly and therefore, if your registers aren't completed on time, you may not be paid until the following month.

After each assignment, the Tutor:HUB will remind you by email to complete the register. You can also click on the My Registers tab at any time.

  1. Each register needs to be completed individually. Start by selecting Click here.
  2. Tick your name on the attendance register (this is how you get paid) plus the pupils who were present in the session.
  3. Tick the box Unexpected Attendance if any pupil attends who is not on your register.
  4. Complete the feedback box. This information is for your Coordinator and school so that we can track pupil progress and attendance. Please include:
    1. The names of any additional pupils present who were not listed as being in the tutor group or if any pupils swapped between groups (Please also email your Coordinator this information directly)
    2. Any pupil lateness.
    3. Brief notes on pupils’ achievements and session content.
    4. Any minor behavioural issues (For any requests for support, please email your Coordinator and School directly)
  5. Select the session type and click ‘Save’

My payments

If you have submitted your Registers within the timeframe you will be able to see your invoices in this section and download a .pdf for your records. For more information on getting paid check out some of the links to Related content below or check out our FAQs on payments
